What is an AGM?
An annual general meeting (commonly abbreviated as AGM, also known as the annual meeting) is a meeting of the general membership of an organisation. These organisations include membership associations and companies with shareholders.
These meetings may be required by law or by the constitution, charter, or by-laws governing the body. The meetings are held to conduct business on behalf of the organisation or company.
Purpose
An organisation may conduct its business at the annual general meeting. The business may include electing a board of directors, making important decisions regarding the organisation, and informing the members of previous and future activities. At this meeting, the shareholders and partners may receive copies of the company’s accounts, review fiscal information for the past year, and ask any questions regarding the directions the business will take in the future.
At the annual general meeting, the president or chairman of the organization presides over the meeting and may give an overall status of the organisation. The secretary prepares the minutes and may be asked to read important papers. The treasurer may present a financial report. Other officers, the board of directors, and committees may give their reports. Attending this meeting are the members or the shareholders of the organization, depending on the type of organisation.

Nominations
Would you or someone you know like to sit on the Chamber committee?
If so, please use the form below. Each nominated person is required to be nominated by another member, and backed by a second member in order to be considered. Once our appointed Returning Officer has qualified the nomination, confirmation will be sent.
Please note: All nominations MUST be submitted before 20th November, 2020
Voting
The voting process we follow is specified in the Witham Chamber constitution (clause 6).
Members can vote on nominations in two ways:
- At the meeting in person – if the member is attending the meeting they can vote on nominations themselves.
- Before the meeting by proxy – if the member is not attending the meeting, they can vote by proxy. This means that the member can appoint someone else who will be at the meeting (either a named individual or the chairman of the meeting) to vote on their behalf.
The results of voting on nominations are published in a way that makes clear the total number of specified and discretionary votes that have been cast for or against any nominations.

Every member has a vote. The AGM will be holding a vote on committee members wanting to remain and those that want to stand, we will be making easier to by offering an online vote – it’ll be quick and easy. Voting closes on 20th November 2020.
